Time Zone Overview
To track an employee's time and expense entries correctly, Time and Expense with ESS needs to know the time zone in which the employee works, and whether it is different from the time zone of the Time and Expense with ESS application server.
Server's Time Zone
When Time and Expense with ESS is shipped, the application server time zone is set to America/New_York. If necessary, change it to the time zone in which your server resides.
User's Time Zone
The first time you log into Time and Expense with ESS as a user, you are prompted to enter your local time zone. Depending on security settings, you may also be able to change your time zone setting in the future.
Your time zone determines:
The timesheet that displays when you click
from the Time menu.The default date in the calendar when you use the Open function on a timesheet.
The default expense report date on the General Wizard screen.
The default date in the Criteria tab on the Floor Check screen.
When a user saves a timesheet, the user's time zone determines the calculation of:
Future Hours — Certain UDT01 types can be set up so that employees can charge to them in advance. Time and Expense with ESS determines whether hours were charged in advance of the current date by looking at the user's time zone.
Hours Added to a Previous Day — Time and Expense with ESS keeps track of when an employee adds hours to a previous day that already had hours. This determination is based on the user's time zone.
Security Roles Screen
The Security Roles screen controls whether an employee can modify his or her time zone once it has been established. From the Administration menu, click Modify Time Zone option to give the employees who belong to a role permission to change their time zone.
